So, I’ve pulled together some simple, honest answers to help clear the fog and get you feeling confident about planning your own event. Let’s make things a little clearer.
1. “I’ve booked the venue”
Before signing any contract, confirm exactly what the venue allows and what services they provide. “Do what you want” can sometimes mean limited support, check details like sound restrictions, catering policies, load-in/load-out times, and furniture availability. I often have clients coming to me having booked the venue but have not really looked at what they require and are hit with unexpected additional costs.
2. “How much will this all cost?”
Start by setting a realistic budget and stick to it. This is key, a memorable event doesn’t have to leave you with months of debt. Prioritise where to spend and where you can save. An experienced planner can help you make smart choices. Ask yourself what is important to me in making the day successful.
3. “Know your audience”
Think about your guests’ needs. Are there dietary restrictions, accessibility concerns, or age considerations? The more tailored your event is to your guests, the more successful it will be. Keep it simple and try not to deliver everything in one event, time has a habit of running out so make sure you do a few elements exceptionally well rather than trying to offer too many facets.
4. “Do I need to hire an event planner?”
That depends on your budget, experience, and how involved you want to be. A planner brings expertise, trusted suppliers, and peace of mind. If you’re short on time or feeling overwhelmed, having a professional on your side can be invaluable. You can hire them for a few hours or use their services from the design concept to on the day event management. Shop around, everyone will bring something different to the table, make sure they understand your ideas and you are both on the same page with expectations of their time, costs and input.
5. “What experience do you have, and what types of events have you organised?”
I would recommend that you look at their website, social media and see what they do, who they deliver events for and how their experience can support you in organising that special event that is keeping you up at night. Have they planned everything from intimate private celebrations to large-scale corporate functions across various industries and cultures? Does their focus and expertise reflect your personality and goals for the event?
6. “How do you find suppliers and vendors?”
An event planner will work with a curated list of trusted professionals who consistently deliver high-quality service. You can also source vendors, based on your event’s unique style and requirements by looking at Google reviews, specialised onsite event finding services (these listings offer a free service), word of mouth, open day events, social media or online information sites.
7. “How do you spend your time working with me, and what will I get?”
From the first consultation to event day, event planners guide you through each step planning, scheduling, budgeting, design, vendor management, and on-site coordination so you feel supported and in control at every stage. Their expertise will allow you to feel in more control of the overwhelm and take away the stress knowing that it is all in hand.
8. “I’m overwhelmed with everything I have to organise. Where do I start?”
Start with the big picture: your budget, guest list, and preferred date. Then, secure your venue. From there, build out the details.
